What is the housing requirement?
Each team must secure a minimum of 15 room nights (i.e. 5 rooms for 3 nights) at an approved hotel through our official housing partner, THS.
We are a local team. How do we know if we are exempt from the hotel requirement?
Teams with an official mailing address of 40 miles or more from the tournament site must secure rooms that meet the housing requirement. Teams within the 40 mile radius are exempt from the requirement. Please contact email@example.com to confirm local status.
What is Early Bird Registration/Hotel Booking?
Early Bird booking privileges are available to clubs/teams who wish to secure 12-15+ hotel rooms (i.e. 36-45+ room nights) per team. Team Registration for this program will open on Tuesday, September 21 at 10:00am MST . The Early Bird Hotel application link will be available upon completion of registration and payment of entry fees on TM2Sign. The application will close on Thursday, September 23 at 5:00pm MST.
When does housing open?
General Housing opens on Tuesday, October 12 at 10:00am MST. Please note that each team must register through TM2Sign and pay the team entry fee prior to booking hotel rooms.
What if I find a lower hotel rate?
THS guarantees the lowest group rates at our partnered hotels through continual rate integrity checks. If you find a room of the same type (double, king, etc.), on the same dates, with the same included amenities (breakfast, parking, etc.) and with the same team-friendly payment and cancellation terms, please report it to us by completing the Lowest Rate Guarantee Support Form. If confirmed, THS will ensure that your team rate will be reduced to match the rate found. Please note the lowest rate guarantee is only applicable until the contracted cut off date (30 days prior to the tournament start). Once the rooms are released, the hotels are able to sell remaining inventory at rates that are not covered by the program.
Will my credit card be charged at the time of booking?
THS does not require any prepayment at the time of booking however, our hotel partners reserve the right to charge a deposit within 30 days of your scheduled arrival date. The deposit policy varies by hotel and contract. Please refer to the terms and conditions of your reservation to confirm the deposit requirement.
What if I want to stay at a hotel that is not on the Approved Hotel list?
Please contact THS at 888-536-8326 to discuss if the hotel can be added to the list of approved hotels.
How can we earn complimentary hotel rooms?
When booking through THS, teams have the opportunity to earn free nights at participating hotels. Please check the Approved Hotel list to verify if a hotel is offering complimentary room nights. Participating hotels will be marked with a notation that states: “Teams receive 1 comp room night for every 15 paid, 16th room night is free.” Earned comp nights can only be applied to reservations booked in team blocks secured through THS.
Can I earn or use rewards points when booking my reservation?
Yes, you can earn rewards points with your preferred hotel chain when booking through THS. Simply list your hotel rewards number on your reservation when booking and provide it to the hotel upon check in. To book rooms using rewards points please visit your Hotel Rewards Portal. Please note that reservations booked using rewards points cannot be counted toward your team’s room night requirement.
Will there be a charge if I need to modify or cancel my reservation?
THS never charges separate change or cancellation fees however your hotel may charge a fee for reservations cancelled after the advertised deadline. Individual hotel cancellation deadlines/policies are outlined in the details of each hotel listing and can be viewed at the time of booking. Please refer to the terms and conditions of your reservation to verify the deposit requirement and cancelation policy.
What happens if our team falls below the minimum room night requirement?
This tournament requires each team to maintain and utilize a minimum of 15 room nights in order to remain eligible for participation. If at any time after being accepted into the event, your team falls below the 15 room night minimum, THS will contact you and you will be given 24 hours to correct the deficit. Failure to correct the deficit within 24 hours will affect the team’s acceptance status and may result in a financial penalty in order for the team to participate in the event, at the sole discretion of the Tournament Director.
What if we are unable to attend/travel due to COVID-19? What do we need to do to avoid hotel cancellation penalties?
For Teams: Please contact firstname.lastname@example.org to notify the tournament.
Please refer to the terms and conditions of your hotel block to verify the deposit requirement and cancelation deadlines. After the team cancellation deadline, if you are unable to attend the tournament, please contact THS to complete the cancellation of your team block. You will be asked to submit a Cancellation Penalty Waiver Form so that THS can reach out to the hotel on your team’s behalf and request that they waive the cancellation fees due to the circumstances.
For Individuals: Please refer to the terms and conditions of your reservation on your confirmation email to verify the deposit requirement and cancelation deadlines. After the deadline, if you are unable to attend the tournament because you or someone in your household has tested positive for COVID-19, cared for an individual who is in quarantine or is a presumptive positive due to being in close proximity to any individual who tested positive for COVID-19, please contact THS to cancel your reservation. You will be asked to complete a Cancellation Penalty Waiver Form so that THS can reach out to the hotel on your behalf to request that they waive your cancellation fee due to the circumstances.
I was charged incorrectly by the hotel. What do I do?
Please refer to the terms and conditions of your reservation to reconfirm the deposit requirement and cancelation policy. If you still feel you were incorrectly charged, please complete a Guest Refund Request Form and THS will reach out to the hotel on your behalf to have the charge corrected.
